We are hiring an Administrative Assistant to join our growing team! This full time position is based in Calgary, Alberta and requires office presence 5 days a week.
Your role within the team
- Serve as the primary contact for the warehouse office, proposing and implementing improvements to office procedures and processes to ensure the efficiency and high performance of the Administrative Assistant role. Additionally, support areas such as health and safety and fleet maintenance.
- Provide reception coverage during sick days and holidays, including greeting and assisting visitors in a friendly and professional manner, answering and directing phone calls to the appropriate departments or personnel, managing incoming and outgoing mail and packages, maintaining the reception area to ensure it is tidy and welcoming, and handling administrative tasks such as scheduling appointments and managing calendars.
- Format, edit, proofread, and distribute outgoing correspondence, reports, proposals, and other documents according to company templates and standards. Prepare and distribute agendas, notes, PowerPoint slides, and other material needed prior to meetings; record, prepare, and distribute meeting minutes.
- Manage, log, file, and circulate regular and electronic incoming correspondence and materials to ensure that the latest information reaches relevant departments and team members promptly.
- Ensure sufficient office supplies and field equipment is always maintained and order additional supplies, when necessary, this will also be including vehicle maintenance.
- Communicate effectively with stakeholders and clients, providing timely updates and addressing concerns. Maintain discretion and confidentiality with client information.

The ideal candidate
- Minimum 3 years of previous related experience working in a large office or project environment.
- Advanced proficiency in Microsoft Office Suite including Excel, Word, PowerPoint and Adobe Acrobat; along with excellent formatting experience.
- Previous work experience in an engineering environment is an asset.
- Ability to balance priorities while meeting deadlines and remaining detail oriented ensuring accuracy;
- Self started with excellent time management and organizational skills;
- Strong oral and written English language communication skills, bilingualism in French is an asset but not required.
