Administrative Assistant -Trail, BC

The Trail Area Health & Environment Program (THEP) is a community program promoting health and the environment in the Trail BC area (www.thep.ca). The Trail team provides risk-based solutions to managing wide-spread metal contamination on public and private property. With the focus of preventing lead (Pb) exposure to young children, they work with families, residents, developers, and others offering a comprehensive program of services and supports. With over 25 years’ experience, THEP has greatly improved air quality and reduced lead exposure in children. THEP’s collaborative approach has been recognized with a BC Premier’s Award. AtkinsRéalis has delivered services on this project since 2008 from the Trail-based Community Program Office and has built a strong relationship with the client and community.
Your role within the team:
The main tasks of the Community Program Coordinator for the Community Program Office include:
- Answering phone calls, emails and managing walk-ins.
- Shipping and receiving of environmental samples, equipment, and supplies.
- Providing Quality Assurance reviews of Chain of Custody information.
- Responding to or directing questions to the Community Program Team from the public.
- Ensuring outreach material is correct and printed to meet the needs of THEP.
- Facilitating timely and accurate responses to inquiries about the THEP.
- In-take of lead-safe renovation requests.
- Basic bookkeeping (i.e., office-wide expense submissions, tracking, credit account reconciliation).
- Occasionally attend community outreach events and report back to the team.
- Electronic data filing as per AtkinsRéalis’s Quality Management System.
- IT troubleshooting and/or coordinating IT support (printers/fax machine).
- Database tracking, scanning and filing.
- Data entry.
- Generating and mailing reports.
- Supporting general office administration – office supply ordering, coordinating office maintenance, etc.
- Meeting preparation, audio/visual set-up, coordination support, printing, creating meeting packages.
- Participation in AtkinsRéalis’s safety and integrity programs and lead routine office safety procedures.
- Occasional notetaking during meetings.
- Minor website updates (upload minutes, links, small edits).
- Proof-reading THEP materials prior to distribution.

The ideal candidate:
- 2 years of general office administration experience.
- Preference will be given to candidates who have some formal training in office administration and/or information management.
- Strong written and computer skills with experience working in MS Word, Excel and Office 365.
- Self-motivated with excellent organizational and time management skills.
- Strong interpersonal skills.
- Excellent verbal and written communication skills.
- Database knowledge (such as MS Access) would be a significant asset.
- Knowledge of home-renovation would be an asset.
- Minor website maintenance experience considered an asset.
- A local resident is required.
- Community Navigator training considered an asset.
Compensation Range:
Expected compensation for this role is somewhere between $41,000 - $56,000 annually. Base salaries are determined according to several parameters like skills, experience, location, and potential impact on the role. Internal and external competitiveness are also taken into account in our offers.
