Overview

The Personal Assistant provides high-level secretarial and administrative support to a Senior Executive, ensuring efficient management of schedules, communications, and strategic initiatives. This role demands exceptional organizational skills, discretion, and a deep understanding of corporate operations to handle complex tasks and confidential information with professionalism.

Your role

  • Provide high level secretarial and administrative support for a Senior Executive.
  • Requires discretion, confidentiality and detailed knowledge of the organization’s operations, procedures and people.
  • Manage the Senior Executive's appointments and schedules and make travel arrangements to make best use of his/her time.
  • Maintain the executives’ special / strategic projects. Advises, supports, assists, coordinates and collaborates on special projects which are highly complex and involve creation and oversight of multifaceted teams.
  • May have access to the Senior Executive ’s email account to schedule his/her appointments and answer or redirect enquiries from internal or external.
  • Handle confidential information and maintain the security of the executives’ records and files.
  • Perform other administrative tasks using independent judgment and discretion.
  • Plan, organize and schedule own workload so that these activities are completed accurately and on time.
  • Activities may also include preparing documents and presentation materials; screening and responding to incoming correspondence, inquiries and phone calls; drafting letters and official information releases; arranging and attending meetings; taking and distributing minutes.

About you

  • Holder of a bachelor’s degree in business or relevant disciplines.
  • Must have a minimum of 10 years of relevant work experience from a large scale MNC environment.
  • Must be highly organized and able to communicate well with people from different background.
  • Strong command of written and spoken English, proficiency in other languages will be an advantage.
  • Proficiency in PC operations, e.g. MS Word, Excel, PowerPoint.
  • Independent, proactive and self-initiated, able to work in a fast-paced environment.
