We are seeking a Record Keeper to join our team in Dallas, TX, to lead and work on various TXDOT projects.

How will you contribute to the team?

• Review and acceptance of project payrolls

• Distribute lane closures and enter into applicable TxDOT system(s)

• Processing of monthly estimate

• Review of force account for accuracy (payment for law enforcement, safety contingency, etc)

• Track invoices / shipping documents / Buy America documentation for pay items

• Review and clear material deficiencies

• Maintain project files (in ProjectWise / Box / server)

• Maintain project logs (shop drawings, RFI, change order, plan sheet, schedule, plan sheet revisions)

• Maintain checklist events in Site Manager

• Attend project meeting, take notes, type notes, compile and distribute meeting minutes

• Review and track sub-consultant invoices

• Process request for approval of subcontractors (enter in Site Manager, compile needed documentation, submit to TxDOT for approval)

• Review and track Diversity Management System (DBE) reporting

• Compose correspondence (time, schedule acceptance, etc.), send for approval and signature

• Maintain database of inspector and contractor certifications

• Compile CUF (Commercially Useful Functions) packets for all DBE subs, submit for approval

• Maintain required records of contractor’s equipment

• Complete payroll reviews for labor interviews

• Maintain OJT files to ensure compliance with TxDOT requirements

• Maintain all SW3P document files to ensure compliance with TxDOT requirements

• Conduct audits of project records as required

• Perform quarterly Prompt Pay audits

• Perform closeout of project records

What will you contribute?

• High school diploma (or equivalent) plus ten years related experience OR an Associates

• Degree in a related administrative field plus eight years related experience is required

• Excellent communication, interpersonal and organizational skills as well as strong English

• grammar, spelling and composition skills. Proficient in Microsoft Office (Word, Excel,

• Access, Outlook and PowerPoint).

Expected compensation range is between $ $32.00 - $45.00 hourly depending on skills, experience, and geographical location.
