Location – Mississauga, ON

Reporting to the Procurement Manager, the Order Administrator is responsible for managing all aspects of high dollar/Complex project purchase Contracts. This includes ensuring that the delivery date is achieved, contract changes meet budgetary, technical and QA requirements set by the project and act as the primary administrator between all parties.

Your role within the team:

• Administer Complex Procurement packages.
• Conduct Supplier Kick-off and Contract Review meetings.
• Process DCI's and Issue Change Orders.
• Coordinate and Interface with Key PO stakeholders including:  Engineering, Project Manager, Project Controls, Finance, Procurement QA, Document Control and Logistics.
• Review and Approve invoices, milestone payments.
• Provide monthly accruals to Project Controls.
• For smaller projects, where no Procurement Lead is dedicated, mentor Expeditors as required.
• Conduct PO closeout activity and Vendor performance.
• Participate in key negotiations with suppliers.
• Handle Warranty claims.
• Interface with the client on Purchase order/manufacturing progress.

The ideal candidate:

• Post-Secondary Degree.
• SCMP Designation an asset.
• Minimum 10 years’ experience in expediting complex Procurement packages or equivalent.
• Knowledge in Manufacturing, experience at supplier facilities.
• Knowledge of Complex PO structure, contract terms and conditions.
• Experience in supplier negotiations.
• Experience in Quality program standards and processes related to supply chain (All levels).
• Experience in vendor performance management.
• Knowledge of the financial system, invoicing/milestone payments, Levels of Authority, Ethics/Compliance/Integrity Controls, HSE Requirements/ Complex Service contracts including Construction contracts and union trades.
• Supervisory responsibilities(if applicable):
  • The OA may be required to Mentor junior purchasing staff.
  • Travelling to Supplier and Project sites.
• Other aspects (if applicable):
  • The OA must be able to make decisions in respect to the contract or manufacturing issues that arise through-out the execution of the contract/purchase order.
