We are hiring an Administrative Assistant to join our team! This full time position is based in Calgary, Alberta. The incumbent will perform a broad range of administrative support activities in support of the project and interact with professional staff, as well as subcontractors and clients.
Your role within the team
Provide administrative and clerical support tasks as needed: booking travel, meetings, conference attendance, preparing meeting minutes, preparing expense reports, coordinating team events, presentations, Log and track IT requests, and general project coordination support
Introduce new employees to a project systems, structures, and arranges delivery of job-specific materials and equipment to the employee
Assist employees complete documentation for timesheet, payroll and other benefits conducts a tour of the workplace or facilities
Support the on-boarding program and ensures all new employees complete orientation and compliance training
Provide training & support for Oracle time sheet management
- Provide Project Controls support as needed: ad hoc assignments (reports, expenses) as well as assisting with Document Control Administration by following document control policies

The ideal candidate
Minimum 5 years experience within a similar role required as administration support
Advanced proficiency in Microsoft Office Suite including Excel, Word, PowerPoint and Adobe Acrobat; along with excellent formatting experience. Oracle knowledge is considered an asset.
Strong oral and written English language communication skills including scheduling skills with ability to budget time and resources.
Detail oriented with ability to focus and prioritize various projects and deadlines in a fast paced environment, share information regularly and inform others in a timely basis
Willingness to learn and take on new initiatives with ability to suggest ways to improve the quality of the team’s output and make necessary effort to meet the needs of internal and external clients
Associates or bachelor degree is an asset.
