Document Control Lead

Our Lead Document Controller is multi-functional. The role entails leading on our bid responses to the application of document control on project opportunities, optimising the configuration of our Electronic Document Management Systems (EDMS), supporting and guiding project specific configuration amendments to our EDMS’s, and will entail managing a team of document controllers in application of document control in addition to leading on our most significant projects.

Our document control team are valued members of the project team, providing the support, guidance and organizational structures that ensure the critical flow of information is achieved. Our document control team ensure collaboration across a project and make real tangible differences to the continuing successful delivery of our projects.

The document control team is responsible for managing the document control process at both a business, and project level. Ensuring documents are compliant, up-to-date, and easily accessible.

The document control team is required to manage documented information in a controlled manner in order to ensure:

  • It is available and suitable for use, where and when it is needed; It is adequately protected (e.g. from loss of confidentiality, improper use, or loss of integrity)
  • This role will have both a project facing and internal operations remit.
  • Team Management: Build and manage a team of document controllers to service business and project requirements. Ensure workloads are balanced, deadlines are met, and responsibilities are fulfilled.
  • Leadership: Provide leadership, guidance, and support to the business, promoting robust and consistent approaches to document control.
  • EDMS Configuration: Lead the optimal configuration of AtkinsRéalis' Electronic Document Management Systems (EDMS) through collaboration with internal and external stakeholders.
  • Winning Work Process: Support the winning work process by evaluating project requirements related to document control, identifying risks and opportunities, producing and reviewing written responses, and capturing case studies and best practices.
  • Process Definition: Collaborate with the wider IM team to define and document business and project-level processes and procedures for consistent, efficient document control.
  • Reporting: Generate and consolidate reports to communicate the progress and state of document control, allowing for issue escalation and identification of best practices for continuous improvement.
  • Strategic Project Support: Lead document control on critical Projects

Experience:

  • Exceptional depth and experience in the application of document control in the construction industry, Oil and Gas Sector, Nuclear sector or similar.
  • Exceptional depth of knowledge and experience in the application of applicable and recognised industry standards relating to document control.
  • Experience in the configuration and implementation of a range of Electronic Document Management Systems, with specific experience in both Bentley ProjectWise and Autodesk Construction Cloud preferable.
  • Expect an experience in a document control and experience in a senior position, leading teams and fulfilling responsibilities in EDMS configuration.
