Our Houston energy team is growing! Process, distribute, and maintain controlled documentation using owner document control system.  Implement master tracking of all packages/deliverables and provide data from this tracking to support management reporting.

How will you contribute to the team?

  • Process, distribute, and maintain controlled documentation using owner document control system.
  • Responsible for the development, implementation, training and auditing of all controlled documentation: drawings, procedures, reports and any other document under revision control.
  • Perform overall document control and flow of engineering design/submittals and processes/reviews.
  • Implement master tracking of all packages/deliverables and provide data from this tracking to support management reporting.
  • Process documents for revision and approval.
  • Monitor the distribution and reconciliation of process or reference documents.
  • Establish comprehensive document controls that support project collaboration in a complex organizational structure.
  • Ensure document quality and compliance within established policy and procedural framework.
  • Collaborate with contractors and 3rd party suppliers to ensure all relevant documentation is produced and supplied in compliance with established document control requirements.
  • Facilitate document translation activities as required.
  • Service excellence in support of the client, project team members, and other stakeholders.
  • Support Project Director and Project Controls Manager in meetings with Project Stakeholders as required.
  • Monitor QA/QC of document and information – formatting, taxonomy, classification, organization, versioning, etc.
  • Facilitate document translation activities as required.
  • Report performance on weekly, monthly, quarterly basis as required.
  • Provide an interface to IT support for Document Control issues, which include process enhancements to existing software, developing recommendations for new hardware and/or software that may benefit the Document Control environment.
  • Support the team in driving consistent implementation and procedural applications of standard project document control practices.
  • Other document control activities as required.

What will you contribute?

  • Associate Degree and/or Bachelor degree or a combination of two to three years of related experience and/or training; or equivalent combination of education and experience.
  • 5 years of experience in Document Management working with Project Wise and SharePoint.
  • Prior experience supporting substation upgrades, transmission line upgrades, hydro projects, Smart Grids, environmental compliance work, and gas projects is required.
  • Strong computer skills and familiarity with standard Office 365 desktop applications.
  • Administrative Level skillset with EDMS applications such as Aconex.
  • English oral & written communication skills are required.
  • Skilled motivator, communicating with and instructing/training others.
  • Ability to negotiate, influence and lead in a complex project organizational structure to produce results.
