Overview
Reporting to the Manager of Bids, the Bid Coordinator is responsible for preparing proposals on behalf of the Nuclear Canada Business Unit. In this capacity, the Bid Lead is responsible for the proposal development lifecycle; coordinating and producing proposals in response to a client inquiry (Request for Proposals, Expressions of Interest, Tenders, Budgetary Estimates, Qualifications, etc.) while assembling a proposal team with the relevant service, product and business knowledge required to win.
Responsibilities include the implementation of proposal procedures and processes, ensuring complete, accurate and quality proposals are prepared on time and on budget. Further responsibilities include participating in capture planning sessions by contributing relevant industry market knowledge, competitor assessments, commercial strategies, etc.
This is a highly networked role that requires an ability to work under pressure and to challenging deadlines.
Your role
- Leading proposals of varying complexity through coordination of multiple stakeholders to deliver high-quality, bid and strategy compliant, winning, and approvable bids on time. Stakeholders consist of senior leadership team, technical, project management, commercial, legal, and other personnel resources as required.
- Proactively work in collaboration with Account Managers to incorporate our strategic approach into the proposal, inclusive of win themes.
- Facilitates proposal kickoff meetings and regular status calls.
- Creates the proposal outline and obtains scope descriptions, estimates and other inputs as required from the appropriate delivery groups to create a compliant and competitive proposal.
- Generates cover letters, executive summaries, and other key (non-technical) parts of proposals.
- Coordinates pricing build ups for all proposals and completes pricing worksheets for smaller proposals.
- Maintains the proposals database with accurate and timely updates (e.g., Start Date, Price, Go/Get information, etc.).
- Adheres to all Corporate Policies and Procedures including Compliance, Risk and Levels of Authority.
- Facilitates proposal reviews, including Pink, Green, Red and Gold Team reviews.
- Leads the Purchase Order acceptance process and reviews Purchase Orders for accuracy and agreement with proposals.
- Anticipates and mitigates potential delays to proposal submission, ultimately ensuring on-time delivery of the proposal.
- Enforces approved style guidelines and ensures a consistent look and feel of all outgoing proposals.
- Works to create and improve best practices that ensure the RFP process is successful and efficient.
- Recommends, manages, and implements improvements of proposal tools and resources.
- Facilitates proposal improvement initiatives, as identified.

About you
- Combination of post-secondary education with relevant work experience, minimum of 4 years' experience in engineering sector. Understanding of costing and pricing models and its principles/requirements relating to treatment of risks, margins and cashflows is a benefit.
- Fundamental knowledge of commercial, contractual, and execution models and risks. Committed to quality and company values along with high tolerance in working under pressure, handling multiple tasks with strict deadlines while maintaining focus on accuracy and attention to detail.
- Advanced user in Microsoft Office Suite (Word, Excel, PowerPoint, and Access) and Adobe Creative Suite including In Design (Photoshop and Illustrator a plus), technology savvy. Association for Proposal Management Professional (APMP) Foundation level certification is beneficial.
- Ability to protect sensitive and proprietary information, effectively manage own time and ability to work overtime when necessary; manage several bids concurrently and works well under deadline pressures.
- Able to maintain strong relationships with senior management and peers while pushing for positive schedule, quality, and strategic outcomes.
