We are hiring an Administrative Assistant to join our growing team! This full time position is based in Calgary, Alberta and requires office presence 5 days a week.

Your role within the team

• Format, edit, proofread and distribute outgoing correspondence, reports, proposals, and other documents according to company templates and standards.
• Prepare and distribute agendas, notes, PowerPoint slides, and other material needed prior to meetings; record, prepare and distribute meeting minutes.
• Assemble data and statistical information for research and informational purposes.
• Organize and maintain various documents (corporate CVs, project fact sheets, etc.).
• Manage, log, file and circulate regular and electronic incoming mail and other correspondence material to ensure that the most up-to-date information reaches the relevant departments and team members in a timely manner.
• Organize and set up conference calls, video conferences, meetings, catering; arrange the scheduling, invitations and confirmation of meetings.
• Ensure sufficient office supplies are maintained at all times and order additional supplies when necessary.
• Respond to email and telephone queries and direct clients to the appropriate individual as required.
• Propose and implement improvements to office procedures and processes to maintain the efficiency and high performance of the Administrative Assistant role.

The ideal candidate 

• Minimum 3 years of previous related experience working in a large office or project environment.
• Advanced proficiency in Microsoft Office Suite including Excel, Word, PowerPoint and Adobe Acrobat; along with excellent formatting experience.
• Previous work experience in an engineering environment is an asset.
• Ability to balance priorities while meeting deadlines and remaining detail oriented ensuring accuracy;
• Self started with excellent time management and organizational skills;
• Strong oral and written English language communication skills, bilingualism in French is an asset but not required.
• Driver Licenses - Driving between two offices  Unit 6, 1305 – 33rd Street NE, Calgary, Alberta, T2A 5P1
