As an Administrative Assistant, you will be the welcoming face and organizational backbone of a busy engineering environment, supporting employees, leadership teams, and visiting clients.

This role is five (5) days per week in-person in our Calgary Office, located at 144 4th AVE SW.

Your role

  • Coordinate day‑to‑day office operations to ensure an efficient, welcoming, and well‑managed workplace.

  • Act as the primary liaison with the landlord and corporate real estate teams to support facility, parking, courier, and general office needs.

  • Provide administrative support to project teams by organizing information, tracking documentation, and facilitating effective communication.

  • Prepare, format, and distribute correspondence, reports, proposals, presentations, and meeting materials.

  • Record, prepare, and distribute accurate meeting minutes to support team alignment and follow‑through

  • Support employee onboarding by ensuring completion of orientation and compliance training, assistance for Oracle timesheet management, deliver project controls support through ad hoc tasks (reports, expenses, etc.), and assist with document control by following established policies.

  • Contribute to HSE initiatives by assisting with safety requirements, drills, updates, and compliance activities.

  • Adapt to evolving needs and learn new systems, tools, and processes quickly.

  • Commit to working on-site five (5) days per week during core business hours (8:30 a.m.–4:30 p.m.).
