How will you make your impact?

As the Office Administrator, you ensure the smooth and efficient daily operations of the Phoenix Linxon office while supporting a rapidly growing team. You act as a central point of coordination across administrative, IT, and HR functions, helping maintain a productive and well‑organized workplace.

In this role, you manage essential office processes, oversee new‑hire onboarding, and make sure employees have the tools and resources they need to succeed. You thrive in a fast‑paced environment, bring strong organizational and multitasking skills, and approach challenges with a proactive, solutions‑driven mindset to keep operations running seamlessly.

What will you do?

  • Oversee daily operations across multiple office locations, ensuring the workspace runs smoothly so teams can stay focused, productive, and supported.

  • Manage office supplies, equipment, and vendor relationships to keep the environment fully functional and ready for day‑to‑day demands.

  • Coordinate meeting spaces, travel arrangements, and company events to enhance team collaboration and create a seamless employee experience.

  • Serve as the first point of contact for basic IT troubleshooting, resolving issues quickly and partnering with IT teams to minimize downtime and keep employees working efficiently.

  • Support employees with hardware/software setup and new‑hire equipment provisioning, ensuring every team member is equipped and ready from day one.

  • Maintain and track IT asset inventory to safeguard company resources and ensure systems stay updated and reliable.

  • Assist HR with onboarding by preparing workspaces, coordinating orientation, and managing documentation, helping new hires integrate smoothly and feel welcomed.

  • Contribute to employee engagement and internal communications, strengthening culture and supporting a positive, connected workplace.

  • Maintain confidential employee records and provide HR administrative support to ensure accurate, compliant, and well‑run processes.

  • Facilitate communication and alignment across multiple office locations, ensuring consistency and strong operational support for all teams.

  • Support the rollout of company‑wide policies and procedures, reinforcing organizational standards and operational excellence.

  • Ensure adherence to health, safety, and security protocols, creating a safe and reliable environment where employees can do their best work.​

Who you are?

  • You have 2–4 years of experience as an office administrator, giving you a solid foundation in supporting daily operations and delivering a smooth workplace experience.

  • You bring strong organizational and time‑management skills, enabling you to balance multiple priorities and keep the office running efficiently.

  • You demonstrate excellent communication and interpersonal abilities, allowing you to collaborate effectively with employees, leadership, vendors, and cross‑functional teams.

  • You are proficient in Microsoft Office Suite and comfortable navigating basic IT systems, helping you support both administrative and technical needs with confidence.

  • You have experience supporting HR and IT functions—or a strong interest and aptitude to do so—making you a versatile partner across key operational areas.

  • You adapt quickly in a fast‑paced, evolving environment and thrive in roles where you can anticipate needs, solve problems, and enhance the overall employee experience.

The US base salary range for this full-time position is $49,000 ro $93,900. Our salary ranges are determined by role, level, and location. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training. Your recruiter can share more about the specific salary range for your preferred location during the hiring process.

Please note that the compensation details listed in US role postings reflect the base salary only, and do not include bonus, equity, or benefits.
