Project Administrative Assistant

Overview

Under the general supervision of the Project Director/Project Manager and reporting to the Functional Manager, Administrative & Executive Support or Administrative Support Supervisor, the Project Administrative Assistant is responsible for performing a variety of complex administrative tasks requiring a thorough knowledge of company and/or project policies and procedures. This position requires the ability to work independently and as part of a team, exercising judgment and initiative, and may be required to provide support for several departments.

Your role

Under minimal supervision and with a high degree of confidentiality and diplomacy, the Project Administrative Assistant is accountable for providing senior-level administrative support to ensure the smooth and successful operation of the office and associated projects. Key responsibilities include:

  • Providing comprehensive and proactive administrative support, exercising sound judgment, discretion, and confidentiality in support of managers, project teams, and multiple departments as required.

  • Managing calendars, priorities, and communications (including email monitoring where applicable), anticipating conflicts and responding effectively to changing deadlines, priorities, and project/business needs.

  • Coordinating internal and external meetings and events, including scheduling, preparation of materials, minute-taking, and follow-up actions.

  • Acting as a professional liaison with internal stakeholders and external clients, suppliers, partners, and government contacts, handling sensitive information with integrity and diplomacy.

  • Administering travel arrangements, expense reports, timesheets, and reporting activities, ensuring accuracy and compliance with corporate and project policies, procedures, and codes of conduct.

  • Maintaining accurate project records, databases, documentation and knowledge management systems.

  • Supporting special assignments and ad hoc initiatives as required, contributing to continuous operational efficiency and effective project delivery.

About you

  • Minimum of 3-5 years administrative experience.

  • Post-secondary education or related business diplomas/certificates.

  • Advanced computer skills with Microsoft Office (SharePoint, Word, PowerPoint, Excel, Calendar).

  • Excellent verbal and written communication skills.

  • Detail oriented and highly organized with the ability to multi-task.

  • Experience working in a consulting firm and/or knowledge of engineering terminology and document types would be considered an asset.

  • Experience with ORACLE and Concur would be considered an asset.
