Overview
We are looking for an enthusiastic and organised Business Support Assistant (BSA) who will provide executive level administrative support to the COO teams in UK & Ireland.
As BSA you will be responsible for performing an array of administrative functions requiring confidentiality, initiative and sound decision making. The ability to interact with staff at all levels in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient. You should demonstrate experience in handling administrative support related tasks with minimal supervision.
The successful applicant shall be based in our London office.
Your role
- Complex diary management, organising meetings and appointments, being able to adapt at short notice to changing priorities. Answers complex emails on behalf of Primary Executive.
- Organise meetings, workshops including booking refreshments and lunches.
- Arranging complex international and domestic travel, transport, accommodation, and visas when required. Including arranging overseas client/ partner/ supplier/staff meetings producing detailed itineraries.
- Complete monthly expenses.
- Tracking and reminding the primary senior leaders of important tasks, actions, and deadlines.
- Build and maintain relationships globally, including the senior management teams and their respective EAs/PAs.
- Attends leadership meetings as part of the leadership team to support primary Executive(s).
- Responsible for governance meeting administration including preparation of agenda, papers & minutes.
- Research & compiles basic briefing papers.
- Deputise for other Personal Assistants when necessary.
- Produce relevant supporting documentation for meetings and workshops.
- Support the organisation of internal and external webinars / conferences.
- Managing filing system and document control.
- Occasional report running.
- Support with supplier set up / invoice coding or similar.
- Monthly update / chase of annual leave trackers.
- Tracking & coordination of tasks for teams' new joiners/leavers.
- General administration duties, such as merchandise ordering, event logistics, group travel and hotel bookings and managing distribution lists.
