Overview
The Office Administrator & Personal Assistant (PA) to the Country Director provides high‑level executive, administrative, and operational support to ensure efficient functioning of the Seoul office. The role manages office operations, external affiliations, financial administration, internal coordination, and acts as the key support resource for the Country Director. This position also supports business development activities, project administration, and cross‑departmental initiatives as required.
Your role
Executive Support to Country Director
- Manage the Country Director's calendar, meeting coordination, travel arrangements, and daily priorities.
- Prepare briefing materials, correspondence, and action‑item follow‑up.
- Handle confidential information with professionalism and discretion.
Office Administration & Operations Support
- Oversee day‑to‑day office operations, facilities, supplies, and vendor coordination for operational-related services.
- Manage office lease agreements, renewals, and landlord communications.
- Maintain office documentation systems, shared resources, and internal communication channels.
- Administer travel arrangements for staff and leadership, including itineraries, bookings, and expenses.
- Manage the South Korea Office SharePoint site, ensuring updates, content accuracy, and accessibility as the office portal.
- Handle general promotion materials & corporate gifts inventory and support logistics for exhibitions and events.
HSE & Office Security Support
- Support office security and health, safety & environmental (HSE) compliance.
- Prepare, coordinate, and follow up on office emergency drills.
- Update and maintain the Emergency Response Plan and related documentation.
- Support planning and facilitation of office HSSQ Committee meetings.
Expense & Payment Support
- Manage procurement processes for operation-related vendors, including quotation collection and purchase request.
- Process invoices, track approvals, and coordinate with Finance for timely payments.
- Conduct monthly expense reconciliation, including Country Director's corporate card & Admin corporate card claims.
External Affiliations & Compliance Support
- Manage administrative support for exhibitions, training, and sponsorships with industry associations.
- Coordinate engineering license–related documentation and external submission requirements.
Business Development & Project Support
- Provide administrative assistance for business development activities, including event coordination, documentation, and proposal support.
- Assist with project-related administrative tasks, tracking, and internal coordination.
- Support any additional Office Administration, Business Development, or project needs as requested by leadership.

About you
- University Undergraduate's degree (Bachelor) with 3+ working experience in office administration, operations support, or executive assistance.
- Strong organizational, prioritized, and multitasking skills.
- Excellent interpersonal skills and strong verbal/written communication abilities in Korean and English.
- Ability to work effectively in a multicultural, global working environment, collaborating across regions and diverse teams.
- Proficiency in MS Office / Microsoft 365 (Teams, SharePoint, Excel, Outlook, PowerPoint).
- Ability to manage confidential information responsibly.
- Strong problem‑solving abilities, initiative, and the ability to work independently in fast‑paced environments.
