Project Coordinator - Contracts

Kincardine, Ontario, Canada

Overview

The Shoreline Power Group is a fully integrated Joint Venture of Aecon and AtkinsRéalis located in Kincardine, Ontario. Shoreline Power Group is the centerpiece of the Major Component Replacement (MCR) program which replaces the main components of 6 reactors at the Bruce Power Nuclear Generating Station. The scope of work includes the removal and replacement of calandria tubes, pressure tubes, and feeders as well as construction management and trade labor. This project is part of Bruce Power's Life Extension Program, which will allow Bruce Power's CANDU units to continue to operate safely through to 2064.

Reporting to the Contracts Manager, the Project Coordinator - Contracts will play a vital role in the commercial side of our multi-year mega project. Assisting the Contracts Lead in the preparation and review of commercial communications within our project team, contractors, and clients.

Your role

  • Work closely with Contracts Manager and Contracts Director to create and maintain a cohesive and dependable Commercial Team.
  • Help ensure that Commercial contractual obligations are identified and met by the Joint Venture.
  • Assist project staff with identification, documentation, notification, and quantification of changes in the Work and claims.
  • Maintain appropriate contract records by monitoring and maintaining the Project Commercial log.
  • Assist Contract Manager and Contract Director in drafting commercial letters to client and subcontractors as required.
  • Transmit documents across to the client as required.
  • Assisting with preparation of reports with the Contract Manager as required.
  • Attend and support customer and JV project meetings and reviews.
  • Support close functional interface between Commercial, Finance and Project Controls.
  • Prepare finalized packages for Management signature prior to transmittal.
  • Develop and maintain estimate files for support of change management.
  • Requires access to confidential financial and contractual information support of role (including labour and other cost data, profit projections, past contracts and medium to long term strategic planning data).
  • Coordinate and facilitate administrative communication with the client's counterpart, ensuring smooth contract management, updates, and compliance documentation.
  • Electronically organize and maintain all contract documents, transmittals, and other contract-related files, to ensure efficient storage, retrieval, and record-keeping.
  • Other duties as assigned.

Fiscal responsibility:

  • Fiscal responsibility as required by the Joint Venture agreement.
  • Maintain confidentiality of commercial and personnel data.

Extent of public contact:

  • Clients, subcontractors, Joint Venture (JV) partners.
  • Project Managers, project personnel, estimating personnel.
  • Trades execution team – supervision and field execution team members.

About you

  • Technical or business post-secondary education.
  • Minimum 2-5 years of experience in the project management/contract administration.
  • Knowledge of construction project operations, policies, and procedures.
  • Basic knowledge of construction planning, scheduling, and management.
  • Advanced knowledge of Microsoft Office products (Word, Excel, PowerPoint, Outlook, etc.).
  • Proven attention to detail.
  • Organization and strong time management skills.
  • Ability to work accurately under pressure.
  • Strong communication skills - oral and written.
  • Must be a self-starter attitude with proactive, results-oriented focus; and willing and capable to assume additional responsibilities and proven ability to multi-task.
  • Due to the nature of work conducted by Shoreline, mandated nuclear export controls requirements must be met for employment.
  • Our background check process includes a full security check and clearance process as well as reference checks. The security clearance process includes a comprehensive list of previous residences, employment, education, and other pertinent information. Those with a valid Bruce Power security clearance are strongly preferred.
