Overview

Join our Administrative Services Team and play a key role in supporting the day‑to‑day operations of an innovative engineering organization. The Administrative Services team provides administrative and operational support to offices and project teams across Canada. The team works closely and collaboratively with multiple business groups, leadership, and project teams to deliver consistent, reliable support in areas such as QA/QC in document services, project administration, onboarding, proposals, and day‑to‑day office operations—helping the business run smoothly and efficiently.

This role is based in Vancouver and is a fully in‑office position (five days per week).

Your role

  • Provide administrative and clerical support tasks as needed: booking travel, meetings, conference attendance, preparing meeting minutes, preparing expense reports, coordinating team events, presentations, Log and track IT requests, and general project coorindation support

  • Coordinate onboarding activities by introducing new employees to project systems, structures, and job‑specific tools and equipment

  • Support employees with timesheet, payroll, and benefits documentation, and assist with workplace and facilities orientation

  • Support the on-boarding program and ensures all new employees complete orientation and compliance training

  • Provide training and ongoing support for Oracle time sheet management

  • Deliver ad hoc project controls support, including reports and expense‑related tasks

  • Assist with document control administration in accordance with established policies

About you

  • Minimum 5 years experience within a similar role required as administration support.

  • Ability to work in an engineering, construction, or project‑based environment

  • Advanced proficiency in Microsoft Office Suite including Excel, Word, PowerPoint, Adobe Acrobat, and Oracle or aptitude to quickly learn enterprise systems

  • Ability to communicate effectively in written and spoken English

  • Aptitude for managing multiple priorities and deadlines in a fast‑paced environment

  • Ability to work with attention to detail while collaborating proactively with diverse teams

Expected compensation for this role is between Pay Range $48,800 - $67,100 annually. Base salaries are determined according to several parameters like skills, experience, and potential impact on the role. Internal and external competitiveness are also taken into account in our offers.
