We are seeking an Executive Assistant to Programme Director in Madinah, Saudi Arabia.

We are looking for a responsible Executive Assistant to provide personalized administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to manager’s working life and communication.

Responsibilities

• Acting as the point of contact between the Director and his staff
• Screening and directing communications and distribute correspondence.
• Handling requests and queries appropriately
• Act as the point of contact between the Project/Programme Director and internal/external clients
• Coordinate between the Project Stakeholders and organise their schedules to meet Director’s needs.
• Handle requests and queries appropriately
• Manage diary and schedule meetings and appointments.
• Make travel arrangements.
• Record Minutes of meetings when needed.
• Work with Office Manager to assure Project/Programme can deliver.
• Produce reports, presentations, and briefs.
• Devise and maintain office filing system.
• Raising Job requestion requests through HR portal.
• Raising any HR issues, CRFs, Change requests, promotional letters, line manager changes in the HR portal for the Directors.
• Coordinate all interview meeting and scheduling for the Programme/Project Directors
• Oversea Mobilization of staff and onboarding

  Work with the Mobilization team before new staff arrive.

  Assuring all appointments, IT, phone tickers are raised in advance of them arriving.

  Travel is in place.

  Accommodation is arranged before they arrive.

  Reach out to staff and be the liaison for their onboarding.

  Assist with Orientation/induction of all new staff to the office/site.

What we’re looking for

• Proven work experience as a Personal Assistant
• Knowledge of office management systems and procedures
• MS Office and English proficiency
• Outstanding organisational and time management skills
• Up to date with latest office gadgets and applications
• Ability to multitask and prioritize daily workload.
• Excellent verbal and written communications skills
• Discretion and confidentiality
• High School degree
• PA diploma or certification would be considered an advantage.
• A “get it done” attitude.
• An ability to work with all nationalities, personalities and cultures.
