We are looking for an enthusiastic and organised Business Administration Assistant (BAA) based in one of our UK regional offices to work in conjunction with the Executive Assistant to our Chief Digital Officer to provide support to our Digital team.
As BAA you will be responsible for performing an array of administrative functions requiring confidentiality, initiative and sound decision making. The ability to interact with staff at all levels in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient. You should demonstrate experience in handling administrative support related tasks with minimal supervision.
ESSENTIAL DUTIES AND RESPONSIBILITIES (Other duties may be assigned):
Providing efficient business administrative support to the Digital team, duties will include but are not restricted to:
- Travel arrangements for the Global Programme Leads including more complex travel for the wider Digital team.
- Diary support for the Global Programme Leads – occasional meeting arranging / liaising with other EA/Pas.
- External venue booking / workshop set up.
- Occasional report running.
- Visa applications for team members.
- Support with supplier set up / invoice coding / similar.
- Monthly expenses for the Global Programme Leads.
- Occasionally act as a conduit between the Digital team and CDO working closely with the Executive Assistant to the CDO.
- Monthly update / chase of annual leave trackers.
- Tracking & coordination of tasks for digital teams new joiners/leavers.
- Ad hoc tasks.
Requirements:
- Experience working with global teams.
- Able to work well under pressure and prioritise workload, while managing multiple tasks.
- Professional and confident manner.
- Can be trusted to always maintain confidentiality.
- Organised and efficient.
- Ability to communicate in a concise manner (oral and written) at all levels within the organisation, and to liaise with senior personnel.
- Flexible, approachable, and willing to pitch in with all tasks and step away from routine when the pressure is on.
- Positive proactive approach.
- Excellent administration and communication skills.
- Excellent knowledge of Microsoft Suite (Outlook, Excel, Word, PowerPoint, SharePoint, and MS Teams).
- Good time management skills with ability to work to deadlines.
- Relevant experience in a similar position.
