Office Manager - Part time, 30 hours per week

We are looking for an experienced Office Manager to join our Aerospace, Defence, Security and Technology business based in Nova North, London.  In addition, overseeing our Epsom office where we have a small team.

The role will involve working under the direction of the Senior Office Manager to support in the day to day administration and support for the London office.  We are looking for an individual who can proactively integrate themselves into a busy office. 

Requirements:

Essential Criteria -

  • Educated to GCSE level including English and Maths.
  • Previous office management experience.
  • Ability to work in a busy, professional office environment.
  • Experienced user of MS Office suite and proficient in using Teams.
  • Self-sufficient/ability to work independent from instruction with a proactive approach.
  • Accurate record keeper, systems and process driven.
  • Strong verbal and written communication skills.

Responsibilities:

  • Office Management.
  • Support to London & Epsom ADS&T House Lead including business continuity and all other aspects of Office Management.
  • Responsible for new starter set up, day one inductions and leaver close-down tasks.
  • Oversee staff data through reporting to ensure the business complies with GDPR including distribution lists.
  • Provide support to staff based at client sites.
  • Support with staff CV’s – review/format and monthly reporting.
  • Liaison with suppliers such as ITS, Finance and Facilities Management to resolve issues.
  • Management of corporate credit card purchases and staff engagement budget.
  • Complete Office Safety Champion duties and checks.
  • Arrangement of meetings, events and hospitality as required.
  • Responsible for maintaining spreadsheets and Email distribution list in Outlook.
  • Monitor stationery, printers, mail and locker keys.
  • Monitor and investigate IS Billing issues through monthly emails and quarterly reports.

QSSE:

  • Maintain ‘Quality Safety Security and Environment information’ and PPE equipment.
  • Local Information Assurance Manager attend monthly meetings and process actions as required.
  • Undertake Fire Marshall duties.

Travel between to our London and Epsom office will be a requirement of this role.  This is a part time role, 30 hours per week.
