À titre d’adjoint(e) exécutif(ve), vous aurez la responsabilité de fournir un support administratif au Vice-Président Exécutif et Chef de la Transformation et aux membres de son équipe.
La personne recherchée devra faire preuve d’un grand sens d’organisation, de responsabilité, de discrétion, de professionnalisme et de jugement. Elle offrira un soutien administratif et professionnel et assistera dans la gestion de l’organisation des départements et des documents.
Le candidat idéal est minutieux, organisé, proactif et sait reconnaître les situations problématiques avant que celles-ci ne surviennent. L’autonomie et la capacité à de travailler avec un minimum de supervision dans un environnement de travail rapide et changeant sont des compétences clés.
Quelle sera votre contribution?
- Interagir avec les autres services corporatifs et les secteurs de la société, ainsi que les consultants externes ;
- Responsabilité entière de toutes les activités quotidiennes du Vice-Président Exécutif et Chef de la Transformation, incluant :
- Prendre et retourner ses appels ;
- Gérer son agenda; et
- Responsabilité entière concernant les réunions (louer les locaux, communiquer avec les traiteurs et coordonner les agendas des participants à l’interne et à l’externe) ;
- Mettre à jour les organigrammes des départements ;
- Préparation de présentations PowerPoint ;
- Assure le suivi de ses dossiers;
- Aider à l’organisation du département ;
- Préparer les feuilles de temps et comptes de dépenses pour Vice-Président Exécutif et Chef de la Transformation Approuver les feuilles de temps et valider les rapports de dépenses de ses « direct reports » ;
- Faire la planification des déplacements ;
- Effectuer diverses tâches administrative pour le département
- Toutes autres tâches connexes et projets spéciaux.
Que recherchons-nous?
- Diplôme en secrétariat ou toute autre formation pertinente ;
- Minimum 10 ans d’expérience dans un rôle similaire ;
- Excellentes compétences organisationnelles, multitâches et interpersonnelles ;
- Habileté de travailler de manière autonome et sous-pression dans un environnement d’équipe ;
- Habileté de prise de décisions rapide ;
- Une grande attention à la confidentialité dans la gestion de la documentation et des discussions ;
- Connaissances avancées de la suite Office de Microsoft (Outlook, Word, excellente connaissance du logiciel Excel et PowerPoint) ;
- Mature, proactif, autonome et sociable ;
- Parfaite connaissance du français et de l’anglais, tant à l’oral qu’à l’écrit.

In this role, you will be responsible to support the Executive Vice-President and Chief Transformation Officer and the members of her team.
The assistant must demonstrate a strong sense of organization, responsibility, discretion, professionalism and judgment. She will provide administrative and professional support and assist in the management of the organization of the departments and documents.
The ideal candidate is meticulous, organized, proactive and able to recognize problem situations before they occur. She is independent and able to work with minimal supervision in a fast paced and changing work environment.
How will you contribute to the team?
- Interact with other corporate services, sectors and external consultants;
- Full responsibility for all daily activities of the Senior Vice-President & Treasurer, including:
- take and return her calls;
- manage her calendar; and
- coordinate all aspects of meetings (reserve conference rooms, communicate with caterers, coordinate the agendas of participants both internally and externally);
- Update the departments’ organizational charts;
- PowerPoint presentations;
- Follow-up on files;
- Assist in the organization of the departments; Prepare timecards and expense reports for Senior Vice-President and Treasurer;
- Approve timecards and validate expense reports for her direct reports;
- Maintain and update the Levels of Authority Matrix for the Treasury department;
- Coordinate travel arrangements;
- Perform various administrative tasks for the three departments that report to the Senior Vice-President and Treasurer;
- All other related tasks and special project work, as required.
What will you contribute?
- Diploma in secretarial or any other relevant information;
- Minimum of 10 years’ experience in a similar role;
- Excellent organization, multi-tasking and interpersonal skills;;
- Ability to work autonomously and under pressure in a team environment;
- Rapid decision-making skills;
- Strong attention to confidentiality in managing documentation and discussions;
- Advanced Microsoft Office Suite (Outlook, Word, excellent knowledge of Excel and PowerPoint);
- Mature, proactive, independent and sociable;
- Excellent knowledge of French and English, both oral and written.
