Atkins seeks an energetic and highly motivated self-starter to join our Miami, FL Contracts and Subcontracts Team as a Document Control Coordinator.
MAJOR FUNCTION/ROLE
- Manage document control system for contracts and subcontracts and provide quality control, oversight and training to ensure that the system operates efficiently and meets users' needs.
- Responsibilities include assisting in the business vetting of subconsultants/suppliers, data-entry of subconsultant/supplier record information, and filing of electronic contract documents.
JOB DUTIES
- Provide training to management and technical/administrative staff in area of responsibility in
- matters of document control.
- Perform quality control reviews in the area of document control for area of responsibility.
- Coordinate document production in legal matters .
- Maintain document control system for ANA prime contracts and subcontracts. Coordinate the
- management of the supplier data base/ internal sourcing database.
- Complete the vetting of subconsultants/suppliers along with the creation and editing of
- subconsultant/supplier records.
- File electronic contract documents.
- May perform such other duties as the supervisor may from time to time deem necessary.
EDUCATION AND EXPERIENCE
- Bachelor's degree plus minimum two years of diversified business experience in positions with administrative, clerical, and advanced filing or document control duties. Without a degree, requires ten years' experience in progressively responsible administrative work. MLS preferred.
SPECIAL SKILLS
- Ability to take initiative. Strong organizational, multi-tasking and analytical skills. Attention to detail and high regard for accuracy, efficiency and confidentiality. Proficiency in Word, Excel and PowerPoint required.
- Excellent written and verbal communication skills. Skill in using all Microsoft Office software is required. General working knowledge of Oracle 11i is helpful.
- Job requires ability to process paper/electronic documents and operate computer keyboard. Ability to communicate effectively and work under the pressure of deadlines.
PROFESSIONAL REGISTRATIONS
- None
- Experience interpreting legal contracts is preferred.
- Position may require experience with various Invoice Tracking Systems and/or experience using MS Project, MSWord, MS Excel, and Primavera.
