Executive Secretary / Administrator (Saudi national)

AtkinsRéalis are looking for an Executive Secretary / Administrator (Saudi national) to pe part of the PMC team on a major programme in Riyadh, KSA.

Key Responsibilities:

• Ability to liaise with a wide variety of staff and clients at all levels

• Able to act on own initiative and operate in a proactive way

• Secretarial assistance to the overall management of Atkins projects

• Non-technical coordination with the project team, Client and sub-consultants

• Provide support to Project Managers in the preparation and compilation of various project documents such as design, tender and technical documents/reports

• Responsible for project document control:

  • Establish and maintain the project filing in accordance with the Quality Management System

  • Organise and follow-up timely project document deliveries

  • Typing and handling of various project communications

  • Create and maintain outgoing document & correspondence register

  • Create and maintain project network directory

  • Handle project queries/communication in the absence of project team

  • Preparation and distribution of controlled project documents such as Project Quality Procedures/Change control forms

  • Preparing project specifications

  • Assist the Project Managers with the preparation and issuing of tenders and tender bulletins

  • Provide support to Project Managers during project audits

  • Coordinate tender submissions and prepare documentation for tender opening meetings

  • Assist in preparing tender analysis reports and recommendation to the Client

Qualifications & Education:

• Bachelor’s degree

• 7+ years of relevant experience as an Executive Secretary in KSA

• English & Arabic communication skills

• Decent Typing skills

• Good computer skills
