Personal Assistant

We require a Personal Assistant based in either our Chelmsford office to provide support to a group of Senior Leadership Team (SLT) within the Transportation Division.

The role holder will provide support to a group of senior leadership members, also working collaboratively with the wider Transportation admin function.  The role requires an experienced and flexible person to take a proactive approach to supporting and working within a high paced office environment ensuring the efficient operation of the Transportation business.

Essential Duties and Responsibilities:

Supplying an efficient Personal Assistant support service to several directors; the duties will include but are not limited to:

  • Managing diaries and organising meetings and appointments.
  • Booking and arranging travel domestic and international, transport and accommodation along with visas where required.
  • Produce and send monthly expenses.
  • Tracking and reminding the Senior Member of staff of important tasks, actions and deadlines.
  • Compiling and preparing reports, presentations, packs and correspondence.
  • Attending meetings where required taking minutes and actions, internally or with stakeholders.
  • Managing databases and filing systems.
  • Deputise for other Personal Assistants when necessary.
  • Monitoring and reporting on timesheets, PDR appraisals, and other group requirements.
  • Liaise with other support staff to provide support when required.
  • Ensure that the directors are and feel fully supported in all areas of administration.

Requirements:

  • Able to work well under pressure and prioritise workload accordingly.
  • Strong attention to detail with excellent interpersonal/communication skills.
  • Professional and confident manner.
  • To always maintain confidentiality.
  • Organised and efficient along with being flexible and approachable, also willing to pitch in with all tasks and assist when the pressure is on.
  • Positive proactive approach.
  • Excellent administration and communication skills.
  • Computer literate including working knowledge of Microsoft Suite (Outlook, Excel, Word. PowerPoint, SharePoint and MS Teams).
  • Good team player and willing to support the team.
  • Good organisation skills with ability to manage multiple tasks.
  • Good time management skills with ability to work to deadlines.
  • A proactive self-starter and problem solver with the ability to multitask in a fast-paced environment.
  • Can demonstrate critical thinking.
  • Ability to work autonomously.
