Purpose of the Job:

Provide proactive, efficient administration and strategic support to Practice Director and to the functionality of the Practice, with particular focus on financial, human resources, event management and coordination aspects relating to the Practice.  Organise, attend and contribute to meetings, analyse and report on data, working with Discipline Leads and PHOD’s and supporting them to deliver the business plan to grow the Practice.

Main Duties of the Jobholder:

  • Work closely with the Operations Lead to improve business functionality to align the Practice with Operation objectives and develop long range plans.  Supporting the implementation of operational strategies to support growth, creating a culture that encourages ownership and initiative.
  • Liaise closely with Finance to track operational costs, budget and financial operation management, updating financial forecasts and keeping to a budget and analyzing and maintaining operational data and establish the production of KPI’s.
  • Supporting the Technical Assurance functional workstream.
  • As Resilience practice coordinator, the role will require organizational, project management support:
    • Creating assignments, tracking progress, deadline compliance.
    • Promoting efficiency by implementing improved practice procedures and standards of procedure and consistency and to drive change and operational transformation.
  • Recruitment – Maintenance and Coordination of practice recruitment activities/plan:
    • Provide practice support to the Main Recruitment Team Function, including interviewee’s availability, status and tracking.
    • Assist with the onboarding, buddy assignment, induction support throughout the probationary periods for all new joiners.
  • Training – maintenance and tracking of the training plan and cost against the budget for:
    • SNC-L/Atkins mandatory training modules (such as Code of Conduct & environmental training).
    • Capability development.
    • Personal development training, including mandatory GDC training.
  • Identify efficiencies and better practices to optimize practice operations.
  • End to end Practice event management including conferences, events, workshops and employee engagement activities from planning phase through to post event actions, including attendance as appropriate.
  • Main point of contact for client, practice in setting up meetings, acquiring materials and keeping up to date on planning.
  • Direct and coordinate practice communications including maintaining social presence.
  • Provide Practice support in the recruitment and Onboarding Processes, ensuring buddy management is in place and effective induction is consistently provided.
  • Support Practice Manager/Team Leaders and LMs with the organization and completion of performance reviews and mandatory Business Training.
  • Creating and maintaining employee schedules.
  • Implement standards of procedure and consistency.
  • Market and promote the practice liaising with Client Directors and Stakeholders.
  • Build and establish relationships with Marketing departments to ensure media, marketing campaigns and communications are aligned.
  • Manager marketing projects and maintain a full library of marketing materials.
  • Identify and source case studies to reinforce the vision and ways of working of the Practice.
  • Ensure accuracy of client deliverables and records, building positive client, supplier and stakeholder relationships.
  • Resident expert and ‘go-to’ person.

  • Discretion, diplomacy in an efficient manner, offering solutions, ideas and making judgements as and when required.
