Role Summary
 

The Executive Assistant will be a key partner to the CEO, offering high-level support while also assisting our national Senior Leadership Team. This role provides an exciting opportunity within a global organisation for a proactive and self-motivated Executive Assistant to collaborate with international teams, managing and coordinating critical projects across multiple countries on behalf of the CEO.
 

Based from either Sydney or Brisbane, the key responsibilities will include:
 

  • Provide comprehensive and support to the CEO, including complex calendar management and travel planning (both domestic and international).

  • Coordinate and manage critical projects across multiple countries on behalf of the CEO.

  • Facilitate communication between the CEO and other internal departments, as well as with key external stakeholders, to ensure smooth operations and effective collaboration.

  • Organize and prioritise critical issues and required information for the CEO to facilitate efficient decision making.

  • Plan and manage high-level meetings and events, including preparing agendas and ensuring follow-up on action items.

  • Monitor and report on the progress of initiatives, providing analytical support.

  • Communicate and handle incoming and outgoing electronic communications on behalf of the CEO.

  • Review and summarise miscellaneous reports and documents; prepare background documents and outgoing mail as necessary.

  • Assist the CEO and Senior Leadership Team with preparation of presentation materials.

  • Compose correspondence, letters and prepare documents, PowerPoint presentations as well as management reports.

  • Maintain confidentiality while handling sensitive information and decision-making.

  • Lead and provide line management to administration team cross the region.

  • Responsible for leading FM requirements for offices across the region.
     

Desired Skills, Experience and Capabilities
 

  • The ability to understand business issues and how to resolve them.

  • Demonstrated knowledge of how to book international travel and coordinate international meetings.

  • Demonstrated relevant experience in supporting senior executives and the C Suite levels.

  • Excellent calendar management skills, including the coordination of executive meetings.

  • Expert knowledge of MS Office, including Word, Excel, PowerPoint, SharePoint and Outlook.

  • The ability to build strong and genuine relationships and work collaboratively with internal and external stakeholders across all levels.

  • Exceptionally well organised, proactive in your approach to work, with a strong ability to multi-task and prioritise a variety of complex tasks.

  • Extremely detail oriented.

  • Motivated self-starter who can demonstrate initiative and not require constant direction

  • Strong communicator – verbal and written skills

  • Ability to develop networks and connect.
