We are hiring an Administrative Assistant to join our growing team in Vancouver, BC to provide on-site administration support to engineering teams working on diverse and exciting projects. You will work collaboratively and effectively as part of a regional administration team and apply your advanced skills to a wide variety of tasks in a fast-paced work environment.

Your role within the Team:

  • Provide administrative support to directors and teams within the framework of engineering projects.
  • Coordinate and organize meetings on site. Prepare and distribute agendas, notes, Powerpoint slides, and other material needed prior to and after meetings.
  • Format, edit, proofread, and distribute outgoing correspondence, reports, proposals, and other documents according to company templates and standards.
  • Create new proposal numbers using Oracle and prepare required corporate documentation prior to starting a proposal.
  • Organize, classify and maintain various documents (corporate CV, project sheets).
  • Coordinate travel for staff and assist with onboarding new staff.
  • Request and manage insurance certificates for various projects and prepare expense reports for various staff.

The Ideal Candidate:

  • Minimum 3 years relevant experience working in a large office or project environment within a related role.
  • Advanced proficiency in Microsoft Office suite (including Word, Excel, Powerpoint, Visio, Outlook, and Teams) and Adobe Acrobat and an aptitude for learning new applications.
  • Strong written and oral communication skills with ability to correct grammar, spelling, punctuation, and narrative flow with attention to detail to ensure accuracy.
  • Proficient collaborative and communication abilities to work with people at all levels to prioritize and coordinate assignments and assemble necessary documents on a strict client deadline.

Expected compensation for this role is between Pay Range $46,600 - $58,300 annually. Base salaries are determined according to several parameters like skills, experience, and potential impact on the role. Internal and external competitiveness are also taken into account in our offers.
